Responsible To

 

The Events and Media Manager, the Finance & Commercial Manager, the Union Manager and then the Personnel Committee and Trustees Board. The post will have a close working relationship with the Senior Management Team and department managers.

 

Mission

 

The role of the Website Co-ordinator is to be responsible for the co-ordination, production, modification and maintenance of the Union website and any applications associated with its user interface.

 

This involves working closely with the Events & Media Manager and Union Web/Graphic Designer.

 

The post holder will also be responsible under the direction of the Union Manager and/or Finance & Commercial Manager for the achievement of the relevant strategic aims and objectives under the Union’s Strategic Plan.

 

Main Duties & Responsibilities

 

1)      Analytical and Technical

 

The Website Co-ordinator will be responsible for:

 

·         Building and maintaining a high quality website and ensuring that it is cross platform compatible.

·         Ensuring that the website is up to date with web standards, programming language and security updates.

·         Co-ordinating, via an agreed strategic project plan, the on-going development of the Union website

·         Turning the static designs from the Union Web/Graphic Designer into working browser web pages

·         Working closely with the platform provider so as to fully implement their systems and tools to ensure that the Union website is an innovative, interactive and important resource for Swansea students

·         Meeting website legislative requirements including ensuring that the website is fully bilingual and accessible.

·         Monitoring web traffic and implementing ways to achieve maximum search engine optimisation

·         Working closely with the PR & Communication Co-ordinator for branding advice and approval

·         Co-ordinating responses to website enquiries

·         Supporting and managing the Union email address system

 

 

2)      Departmental

 

The Website Co-ordinator will be responsible for:

 

·         Liaising with Departmental Managers in order to co-ordinate content for inclusion on the Union website. This will include agreeing and monitoring timescales for content submissions.

·         Advising Departmental Managers on the modules they can use to help develop their own specific objectives on the Union website.

·         Working with the Union Web/Graphic Designer to generate well branded departmental mini-sites.

·         Collaborating with the Union Full Time Officers and Trustees to ensure the website is providing the Union with the relevant information to interact and engage with the student membership

·         Making recommendations for ways to improve contact with specific demographic groups

·         Submitting new and innovative ideas for web content and the publishing of electronic information

·         Advising on new social media tools that will enhance departmental interaction with others

 

 

3)      Relationship Management

 

The Website Co-ordinator will be responsible for:

 

·         Representing Swansea University Students’ Union to potential partners, including the University

·         Facilitating and managing relationships with staff and clients

·         Engaging, inspiring and managing student staff, monitoring their performance and providing basic and relevant training where appropriate

·         Providing and being committed to excellent customer service

·         Maintaining a working knowledge of legislative requirements and industry standards

·         Supporting the implementation of all key projects

·         Providing administrative support to the SMT and Trustees as and when required

 

 

4)      Financial and Resource Management

 

The Website Co-ordinator will be responsible for:

 

·         Being mindful of any agreed expenditure and resource limits and be the budget holder as agreed of the relevant associated budgets.

·         Adopting a pro-active risk managed approach to activities

·         Maintaining documentation relating to all correspondence and transactions

·         Working to successfully achieve KPI targets

 

 

5)      Key Performance Indicators

 

The Website Co-ordinator will have the following Key Performance Indicators to monitor their success:

 

·         Achievement of relevant Union Strategic Plan Objectives

·         Updated information on the Union website

·         Legislative requirements being met including bi-lingual issues

·         Excellent customer feedback from existing internal and external clients

·         Established Website Roadmap with proposed target timescales following feedback for colleagues

·         Management of third party contracts

·         Agreed budgetary targets met

 

 

6)      Other duties

 

The Website Co-ordinator will:

 

·         Be the line manager for any staff , interns and placements as required

·         Carry out any other reasonable duty as directed by the Union Manager and/or Finance & Commercial Manager

 

 

The Website Co-ordinator will be mindful at all times of the overall mission and values of Swansea University Students’ Union.

 

The Website Co-ordinator will be mindful of Health & Safety at work legislation at all times.

 

The Website Co-ordinator will follow the Students’ Union Environmental and Ethical Policies & Procedures.
