Main Duties & Responsibilities

1. Management Support

The PR & Communications Manager will be responsible for:

  • Public Relations
    • Planning, developing and implementing public relations strategies and devising communications matrices
    • Liaising with, and answering enquiries from, the media, individuals and other organisations.
    • Researching, writing and distributing press releases to the relevant targeted media and stakeholders.
    • Collating and analysing media coverage, whilst providing reports on the coverage to relevant colleagues.
    • Assisting with writing and editing in-house magazines, case studies, speeches, articles and annual reports where appropriate
    • Preparing and supervising the production of publicity brochures, hand outs, direct mail leaflets, promotional videos, web content, photographs, films and multimedia programmes
    • Raising awareness of the charity and its work at local and national levels
    • Advising on consultation and engagement with students and assisting in the establishment of effective student feedback mechanisms working closely with the Student Experience Research Co-ordinator
    • Organising events including press conferences, exhibitions, open days and press tours where appropriate
    • Developing a new PR/Public Affairs Social Enterprise under the direction of the Union Manager
    • Using knowledge, expertise and research to identify new developments, trends and opportunities
    • Maintaining a working knowledge of legislative requirements and industry standards

     

  • Union Marketing
    • Marketing the Union’s charitable objectives and its strategic planning. This will involve marketing the Union’s welfare and non-commercial departments
    • Devising a marketing strategy and plan for the Union as a charitable organisation enabling clear and informative communication of its Mission objectives
    • Ensuring that all materials and communications are bi-lingual and meet the required legislative standards
    • Providing support in the co-ordination of key events such as the AGM and arrivals activities
    • Line managing and supervising the work of the Sales & Marketing Co-ordinator

     

  • Communications
    • Developing and co-ordinating a communications strategy
    • Supporting and co-ordinating the delivery of internal communication through appropriate channels
    • Co-ordinating Union communications across two campuses
    • Co-ordinating the Union’s external social media and oversee content production
    • Developing a staff intranet
    • Updating relevant information on the Union website
    • Assisting in the development a digital media strategy
    • Support the implementation of all key projects
    • Attending and participating in planning meetings with staff, stakeholders, contractors and clients where requested
    • Assist in communicating key messages to students from the University as appropriate and directed by the Union Manager
    • Providing administrative support to the SMT and Trustees as and when required
    • Working with the SMT to monitor and ensure Strategic Plan KPI reporting is implemented and communicated to the relevant stakeholder

     

  • Customer Service Excellence
    • Co-ordinating the achievement of the Customer Service Excellence Award, working in conjunction with the Projects Assistant, staff and officers

     

  • External Accreditation
    • Under the direction of the Union Manager the co-ordination of relevant external accreditation schemes
    • Assisting the Union Manager in the co-ordination of Investors In People accreditation

     

  • Community
    • Developing and updating the Community Webpage which will focus on community based events and activities
    • Working with the membership and surrounding community to recognise projects that have made a difference to the world around the Union and that can be considered for a Special Projects Award
    • Working with the officers and staff in the development of new community initiatives and projects

     

  • Union Branding
    • Ensuring that the Union Brand Guidelines are adhered to
    • Supporting the development of brand materials

     

  • Waterfront
    • Co-ordinating the final stage production of Waterfront or equivalent. In this they will work in conjunction with the printers, editorial team and departments where necessary
    • Co-ordinating the Editorial Board for Waterfront and managing the Waterfront contract for services.

     

  • Fundraising, Alumni and Supporters
    The PR & Communications Manager will also:
    • Assist the SMT with writing proposals that could attract money, including applications for grants
    • Developing and implementing a strategy for individual and corporate supporter and alumni recruitment
    • Investigating funding and fundraising opportunities
    • Setting up a ‘Donation’ area on the Union website
    • Assist the SMT in preparing and giving presentations to existing and potential supporters

     

2. Relationship Management

The PR & Communications Manager will:

  • Represent Swansea University Students’ Union to potential partners
  • Facilitate and manage relationships with staff and clients
  • Engage, inspire and manage student staff, monitor their performance and provide basic and relevant training where appropriate
  • Provide and be committed to excellent customer service

3. Financial and Resource Management

The PR & Communications Manager will:

  • Be mindful of any agreed expenditure and resource limits and be the budget holder as agreed of the relevant associated budgets.
  • Be the line manager of the Sales & Marketing Co-ordinator
  • Adopt a pro-active risk managed approach to activities
  • Maintain documentation relating to all correspondence and transactions
  • Work to successfully achieve KPI targets

4. Key Performance Indicators

The PR & Communications Manager will have the following Key Performance Indicators to monitor their success:

  • Achievement of relevant Union Strategic Plan Objectives
  • Evidence of Public Relations Strategy
  • Successful Corporate Marketing Strategy and Plan established
  • Improved local and national awareness of the Unions activities and campaigns through effective press releases, speeches or articles
  • Established PR and Public Affairs Social Enterprise
  • Development of Community Webpage and recognition of Special Projects Award candidates
  • Evidence of ideas of new fundraising opportunities with all opportunities being followed up
  • Evidence of Alumni and Supporter Donation Strategy including donation area on the Union website
  • Organisational compliance with Union Brand Guidelines
  • Effective application of legislative knowledge
  • Achievement of Gold Status in the Green Impact Awards
  • Successfully meeting of the targets contained within the Union’s Environmental Plan
  • Agreed budgetary targets met

5. Other duties

The PR & Communications Manager will:

  • Be the line manager for any relevant staff, interns and placements that are employed or hosted with the Union
  • Be expected to attend meetings within the University and externally (such as the Arrivals Committee) as appropriate and directed by the Union Manager
  • Carry out any other reasonable duty as directed by the Union Manager and/or Finance & Commercial Manager

The PR & Communications Manager will be mindful at all times of the overall mission and values of Swansea University Students’ Union, of Health & Safety at work legislation at all times, and of the Students’ Union Environmental and Ethical Policies & Procedures.
